Action Plan for Quality Performance:

For example, if 90 out of 100 purchase orders are delivered on time then the delivery performance is 90%.

Action Plan for Delivery Performance:

  • Set Standards for Different Transportation Modes: Define reasonable timelines for local suppliers, land/air transportation, and ocean transportation.
  • Monitor and Report Delays: Track delivery performance regularly and communicate delays to suppliers.
  • Collaborate on Solutions: Work with suppliers to address bottlenecks or logistical challenges that impact delivery timelines.
  • Incentivize On-Time Delivery: Reward suppliers who consistently meet or exceed delivery targets.

3. Supplier Scorecard

A Supplier Scorecard is a Service Performance composite metric that evaluates multiple aspects of supplier service, including invoicing accuracy, delivery documentation, responsiveness, and certification of analysis (CoA). Here’s one way it could be calculated:

Service Performance = (Invoice Accuracy % * Wt1 + Delivery Documentation % * Wt2 + Response Time % * Wt3 + CoA Compliance % * Wt4)

where Weights (Wt1+Wt2+Wt3+Wt4) should sum to 1.

  • Invoice Accuracy %: Percentage of invoices without errors meaning correct pricing, quantity and other details.
  • Delivery Documentation %: Percentage of deliveries with correct documentation.
  • Response Time %: Percentage of responses within the agreed time frame (e.g., 24 hours, 24-48 hours, or beyond).
  • CoA Compliance %: Percentage of lots accompanied by a Certificate of Analysis which indicates products passing quality checks.

Example Calculation:

  • Invoice Accuracy: 95%
  • Delivery Documentation: 90%
  • Response Time: 85%
  • CoA Compliance: 100%

Supplier Scorecard  = (95*0.25 + 90*0.25 + 85*0.25 + 100*0.25) = 92.5%

Note that on-time delivery can be added as a fifth component (with Wt5) to the scorecard to measure the percentage of deliveries made on or before the agreed-upon delivery date but since this was captured in delivery performance, it was left out here to focus on supplier’s service.

  • Lead Time Variability: Track the consistency of lead times to identify suppliers with reliable production and delivery processes. This can be done using coefficient of variation (Std Dev of Lead Time / Avg Lead Time).

c. Innovation and Collaboration

  • Number of Improvement Suggestions: Track the number of innovative ideas or process improvements suggested by the supplier.
  • Joint Development Projects: Measure the success of collaborative projects aimed at improving products or processes.

d. Sustainability and Compliance

  • Environmental Compliance: Evaluate the supplier’s adherence to environmental regulations and sustainability practices.
  • Ethical Sourcing: Assess the supplier’s commitment to ethical labor practices and sourcing standards.
